Rule of thumb: if your main pain is communication and change requests (for agencies it almost always is), a feedback-first portal is the right category. If your main pain is invoicing and resource planning, you need a PSA — and can still run the portal separately.

GDPR checklist for client portals

  1. Where does the data actually live? EU hosting without US subprocessors — "GDPR-ready" in marketing copy is not enough; ask about the data center.
  2. DPA (data processing agreement) must be offered as standard — you process your end clients' data in the portal.
  3. Export & deletion: full data export at any time, deletion concept at contract end.
  4. Public-sector end clients? Then the hosting argument often decides alone — plan for it from day one.
